Ontario leases
Lease Management Software for Ontario Landlords and Property Managers
Upload the lease once and let the record do the work: rent, dates, deposits, occupants, renewals, move-outs and Ontario paperwork in one place.
A lease is the source of truth for a tenancy, which is why keeping it in a shared drive is a problem. Propvera turns each lease into a working record: the rent amount that drives the ledger, the term dates that drive renewal reminders, the deposit that has to be accounted for, and the occupants who belong to it. For Ontario tenancies it also handles the provincial side, from the Standard Lease to Landlord and Tenant Board notices.

Lease upload
Upload a signed lease PDF and have the key details extracted and matched to the right unit and tenant for confirmation.

Rent amount, due day, last month's rent and prorated first month captured on the record.
Term dates and renewals
Start and end dates, open-ended tenancies, and reminders as expiry approaches.
Tenant and occupant links
Primary contact and co-tenants tied to the lease, with history when people change.
Move-outs and terminations
Record a termination date, free the unit, and keep the tenancy history intact.
Ontario forms
Standard Lease alignment and LTB notices including the N1, filled from the record and stored with it.
Why the lease record has to drive everything else
If rent charges, occupancy and reminders are entered separately from the lease, they drift. Propvera derives them: rent schedules come from the lease terms, a unit is occupied because a current lease exists, and rent increase eligibility is calculated from the last recorded increase or the lease start.
- One change to the lease flows through to rent and occupancy
- Vacancy is never stale because it is not entered by hand
- Renewal and increase timing is calculated, not remembered
- Terminations keep the history rather than deleting it
Ontario specifics that generic tools miss
Ontario expects the Standard Lease for most residential tenancies, treats last month's rent in a particular way, continues fixed terms month-to-month, and prescribes notice forms for increases and terminations. Propvera models those behaviours instead of leaving them to a Word document and a calendar reminder.
Digitizing a filing cabinet
Uploading leases is the fastest way to onboard an existing portfolio. Each upload is reviewed before it saves, so an extraction error becomes a correction rather than a bad record, and the original PDF stays attached in the document vault.
Frequently asked questions
Does Propvera support the Ontario Standard Lease?
Yes. Lease records align with the Ontario Standard Lease and the PDF can be filled using the tenant, unit and rent details already in your account.
Can I upload leases I already have signed?
Yes. Upload the PDF and the key details — tenant, unit, rent, term dates and deposit — are read and proposed for your review before anything is saved. The original document stays attached.
What happens when an Ontario fixed-term lease expires?
The tenancy continues month-to-month, which Propvera reflects automatically. Ending a tenancy requires recording a termination date rather than simply letting the end date pass.
Can Propvera generate Ontario LTB notices?
Yes, Ontario forms including the N1 rent increase notice are prepared from the lease and tenant details and saved to the document vault.
How are co-tenants handled?
A lease can have a primary billing contact and additional co-tenants, and rent can optionally be split between them while the unit total stays authoritative.
Can I record an older lease for history?
Yes. Past tenancies and past rent increases can be recorded so the unit's history is complete, without affecting current rent or notifying anyone.
Where are lease documents stored?
In the document vault against the property, unit and tenant, with visibility controls and download links that expire.
Is this legal advice?
No. Propvera helps you keep accurate records and prepare prescribed forms, but Board matters and legal questions still need a qualified professional.
